This environment is hosted and operated by Myte Group and is accessible by invitation only.

Internal and Invitation-Based Use
This App is provided primarily for patients and healthcare professionals participating in this controlled, invite-only testing environment. It is not publicly available.

Testing and Development Phase
We are currently iterating and refining the App. During this phase, your data—including personal information—may be accessible to our development team and other authorized personnel for the purposes of enhancing features, resolving technical issues, and improving your overall experience.

Acceptance of This Policy
By using or continuing to use the App, you consent to the practices described in this Policy, including any necessary data sharing for testing, refinement, and operational support.

1. User Account Information
Personal Identifiers: First name, last name, email address, phone number, and date of birth.
Role Information: Your designated role (e.g., patient, doctor, or other staff).
2. Health Data
The App allows you to provide health-related responses or records. Although direct identifiers (e.g., name, phone) are not stored within these responses, they remain linked to your account via internal IDs.
3. Consultation Summaries and AI Processing
Consultation notes may be generated via the App. We are transitioning to a system that removes personal identifiers (such as name, email, etc.) before transmitting any text to third-party AI services. However, during this testing phase, some basic personal information (for example, your first name) might still appear in summary texts. We are actively working on further anonymization.
4. Technical and Usage Data
Log files and audit logs may record who accessed or updated certain information and when, to help monitor system usage and enhance security.
3. How We Use Your Information
1. Provide and Improve the Service
We use your personal data (e.g., name, email, phone) to create and manage your user account, enable access to relevant health records, and troubleshoot or improve the App’s features.
2. Testing and Development
During this testing phase, our development team may review real or anonymized data to resolve bugs, improve performance, and refine the overall user experience.
3. Research and Analytics (Non-Commercial)
Usage analytics are solely used for internal analysis to identify potential improvements or system issues. We do not sell or share your information with external advertisers.

4. Data Storage and Security
1. Database and Partial Encryption
Currently, certain fields in the users collection may not be fully encrypted at rest within this testing environment. However, we use standard encryption in transit (e.g., HTTPS) to secure data transfers.
Our roadmap includes implementing field-level encryption for personally identifiable information as we move toward a fully compliant system.
2. Hosting Location
Data may be hosted on servers within or possibly outside Canada, depending on the cloud services employed. We are working to ensure that data is stored in a secure environment that meets all applicable legal and operational requirements.
3. Access Controls
The App utilizes role-based access, so only authorized personnel (e.g., doctors, administrators) can view or edit personal data. During testing, developers may also access user data for debugging or refinement purposes.
4. Audit Logging
We maintain logs detailing who accesses what data and when, to enhance security and accountability.
5. Data Retention
Testing Period: As we refine the system, we may retain your data on our systems to analyze performance and user flows.
Operational Requirements: Some records may be retained in accordance with applicable legal or operational requirements.

Some summarized text or anonymized data may be sent to third-party services (such as AI providers) to generate discussion summaries. We are actively working to remove personally identifiable information from these summaries.
8. Children’s Privacy
While the App may be used for pediatric patients under appropriate supervision, any personal information collected for minors is managed strictly with parental or guardian consent, in accordance with applicable policies.
9. Future Changes
As we evolve toward a fully compliant system with robust encryption at rest, enhanced user consent procedures, and potential French localization (as required by Quebec law), we will update this Privacy Policy accordingly.
